Become Super Productive

In the last weeks you started working smarter by looking for opportunities to delegate and automate processes you normally do yourself in your business.

If you followed the delegation process (WHY, WHAT, HOW, WHO and WHEN) and as a result chose ONE process to delegate… well done! You’re well ahead of the game.

If you followed the automation process (WHY, WHAT x 2, HOW and WHEN) and as a result chose ONE process to automate… give yourself another pat on the back! You are setting yourself up for success.

Bad habits die hard…

Before we go on for the next (and last) part in the Work Smarter, Not harder block of the program, I would like you to notice if you didn’t fall to one of two old patterns, that sabotage many entrepreneurs:

1. OVERachieving
Nothing is wrong with wanting more, doing more, pushing more… but this Working ON Your Business program will get you to work ON 24 different areas in your business.

And we only have one week to work ON each area together.

So… when I ask you to pick up ONE process to delegate, for example… I mean ONE process… not 7, not 17, not 47 processes.

Not that you cannot (or shouldn’t) delegate 7 processes or automate 17 processes. If you can, you probably should… at one point… 

But for the sake of you getting the maximum out of the program… ONE process delegated successfully is better than 10 processes planned to be delegated…

2. UNDERachieving
I understand that everyone is in a different place in life and in business… BUT… if I let you into the program, it’s because I am convinced that every single assignment in the program will be valuable for your business.

If I ask you to come up with ideas of what to automate in your business, and you find it hard to come with any idea – then YOUR job is to breakthrough that internal limitation and “push” your brain to come up with 10 ideas… 

If you manage to come up easily with 10 ideas… then find the point where it becomes difficult – and push for 5-6 more ideas. If you didn’t feel like your brain was sweating – you probably gave up too early…

Please understand… the assignment itself (for example, automate something) is the least important part of the program. Developing habits that get your brain to work for you, on demand, is a lot more important.

Here’s a PRO tip… whenever you hear the voice in your head telling you “I can’t”, “it doesn’t make sense”, “give me a break”, “it’s impossible”… that’s the time to say to your mind, “thank you for sharing”… and do the assignment AS instructed.

By the way… that goes also for whenever you choose not to celebrate the completion of a week… I don’t have the time and possibility to make this program into a personal development program, but each time I read someone writing “I have nothing to celebrate this week”, I have a strong urge to find that person and put some sense in their brain…

Remember – your job is to go from where you are now to where you want to be – in the minimum amount of steps. That’s what it means to work smarter.

When you get there – doing business becomes easier, life is more flowing, you get results faster

Most of us are doing too much. Being busy became a status symbol.
Many of us thinking of ourselves as Mr./Ms. Busy Important.

Here’s the newsflash…

Busy is the NEW Stupid

We all have the same 24 hours a day, same 7 days a week, same 365 days a year… and yet – it seems some people manage to achieve 10 times, 100 times, even 1,000 times more than the rest of us…

What’s their secret?

It’s quite simple, and you already know it… So it’s not going to be a big surprise when I explain you the simple, powerful tool you need to use – that when you use it – you’ll become super productive.

Drum roll… enter the…

Productivity Matrix

This simple, yet very effective tool will help you focus on the tasks, actions and activities that make the biggest difference in your business.

Those activities are divided into 4 categories:

  1. NEW
    Those are tasks, actions or activities you haven’t done before, but adding them to your “to do” list would make a big difference.

    This is, of course, different for every person/business/situation – but some examples could be: publishing your FIRST book to build an expert position, adding reminders on your phone so you don’t forget your appointments, getting someone else to do your bookkeeping…

  2. MORE
    Those are tasks, actions or activities you’re already doing. They deliver lots of value for you, and all you need is to do MORE of them.

    For example, if you’re sending an offer to your mailing list once a year, and it works, start sending 4 times a year. If you’re having one client magnet that works, create another one…

  3. LESS
    Those are tasks, actions or activities you’re doing, that cost you time or money or energy but don’t deliver you a lot of value, and you need to do LESS of them.

    For example, if posting daily on social media doesn’t deliver daily value (in the form of clients or at least opt-ins or inquiries) you might want to cut it down to a weekly posting. 

  4. STOP
    Probably the most important category when it comes to being super productive. In this category you want to include these tasks, activities or actions you do that waste your time, energy, money (or all of them). And you should simply STOP doing them.

    For example, I just stopped sending any emails to people that are not active, paying clients. You might want to stop wasting time on social media that is not strictly business-growth related… 

Let’s start with your MINDSET…

Are you busy?
We like others to think we are busy. We feel guilty if we are not busy. We think not being busy is bad. Because we often confuse being busy with being successful.

Most productive and successful people I’ve ever met always find time that others don’t.  And while you may not get much of their time, when you do get it – you get undivided attention. They are fully present and maximize every moment of the interaction. They never multi-task.    

But most of us waste our precious time on things we shouldn’t. Which means we have less hours to invest wisely, on things that do matter. That might be improving our professional skills, pursuing a tremendous business opportunity, investing in a hobby, or simply spending more time with the people we love.

Why do you waste time and then use every opportunity to express to others how busy you are?  Because as a society we’re glorifying “busy”. We’ve all been tricked into believing that if we are busy we are important.  But that’s not true.

Busy isn’t cool.  In fact, BUSY IS THE NEW STUPID.  

Being busy makes us rush, creates short-sightedness, expands our blind spots, increases mistakes and as a result – we miss opportunities we can’t get back. Busyness creates more “would haves”, “could haves” and “should haves” than anything else in our life – which ultimately leads to regret.

So, next time you find yourself apologizing to someone that you would have liked to meet them, respond to them, or just acknowledge their existence but couldn’t because you’ve been so busy, consider the REAL message(s) you’re sending them:

  • My time is more important than yours;
  • I’m not very good at prioritizing my time;
  • I want you to judge me based on how busy I am, not how productive I am;
  • You aren’t a priority, or at least what you want to speak with me about isn’t a priority.

Set your GOAL for this week…

  • Day 2 – come up with at least 10 ideas what to do MORE of and choose the 3 tasks, actions or activities you’re going to do MORE of in the coming month;

  • Day 3 – come up with at least 10 ideas what to do LESS of and choose the 3 tasks, actions or activities you’re going to do LESS of in the coming month;

  • Day 4 – come up with at least 10 ideas what to STOP doing and choose the ONE task, action or activity you’re committing to STOP doing immediately;

  • Day 5 – put it all together in one “document”: NEW, MORE, LESS, STOP.

    1. I now remeber Nisandeh saying that when you have a hrad timing comming up with ideas, then it is realy time to force your brain to think harder.
      And not give up.

      So....

      6. Giving up. (Maybe giving up too soon, cause sometimes giving up is the perfect thing to do.)
      7. Try to get approval from people for what I do, or for who I am.
      8. Sending memes or funny video's to friends... (no, I should do less, but I don't want to stop, cause sometimes it's just funy.)

    8. Telling myself that 'I don't know'.
    9. Hoping that someone is going to save me.

  16. Day 5 – Putting it all together

    Start the day by looking at the list of things I should stop doing. Being very conscious about what has to change. The plan is to write down the changes I have to make and to keep reminding me of it. And not procrastinating making that list/plan.

  17. Day 4 – What to STOP doing

    So on day 3 I wrote down what I should be doing less. However, I can write the same list when talking about 'What to stop doing'. So here we go.

    MY COMMITMENT
    Actually I should stop them all. But first I am going to stop thinking I can’t sell myself to organisations. This is what holds me back the most and also what scares me the most.

      Most entrepreneurs are not even aware of what's not working, and when they become aware, they're often so invested in these activities... that they find it hard to stop ("let me try just one more week...")

    Kom met zoveel taken, acties of activiteiten die u kunt bedenken – die u in uw bedrijf doet, en u zou MINDER moeten doen om uw bedrijf op de lange termijn ten goede te komen…

    MINDER DOEN:
    1. Abonneren op minder nieuwsbrieven (kost veel energie en als het geen bijdrage is geeft het last)
    2. Dingen meerdere keren veranderen om ze te verbeteren (na 1 aanpassing kan het soms nog scherper en beter)
    3. Dingen doen waar ik niet echt in geloof
    4. Aan meerdere projecten tegelijk werken (het leidt te veel af)
    5. Dingen uitstellen die ik niet graag doe
    6. Te veel taken op een dag plannen

      Qua vieren was echt wel mijn bezoek aan de beurs in Duitsland. Eurobike

      Ik ben terug gekomen met veel ideeen en veel energie.
      Ik durfde eerder niet snel naar mensen toe te stappen en heb het nu gedaan en gaf enorme vreugde om het te doen.
      Ik wordt steeds zekerder in de wat ik te doen en heb en dat is best groots.

      Het bedrijf wat er moet komen gaat al gauw over 600 - 700 man personeel (alleen in Nederland)
      In elke provincie op strategische plaats een grote hal waar 30 monteurs in een rij werken met
      - stadsfietsen.
      - sportfietsen .
      - elektrische fietsen
      - cargobike/ bakfietsen

      In elk team is een coach / leermeester die een eindcontrole doet van de fiets.
      Er is een magazijn waar je onderdelen kunt afhalen
      Er is een leef en mindstijl coach en personeel kan er gezond eten en sporten en meditatie/yoga. samen fietstochten rijden
      Fietsen naar werk wordt gestimuleerd
      Er is een volledig beschreven traject hoe alles verloopt. tav structuur en helderheid

      Dit moet een meerwaarde zijn waarom men bij ons wil werken.
      Er word gewerkt vanuit positieve coaching
      Er is beveiliging

      Je kunt doorgroeien naar en werkplek op een bus.
      Er zijn 15 bussen per hal/ provincie (in afstemming wat de behoefte is in de regio)

      De teams / hal managers hebben contact over voortgang en ideeen.

      Mooiste / volgend stadium is als er in 3 teams ( 3 ploegen diensten ) gewerkt gaat worden (3x8 uur ) zo wordt de hal de hele dag gebruikt.

      Fietsen per regio kunnen verzameld worden bijvoorbeeld op locaties van de gamma. waar de fietsen verzameld worden.
      Je kunt als klant kiezen voor reparatie binnen 24 uur of 48 uur of langer wat normaal tarief is.

      Het is een landelijk leer/werk traject. (later naar Belgie Duitsland - Denemarken zweden etc. )

      Veel kennis wordt verkregen via video's
      Van alle handelingen worden kleine videos gemaakt.
      Deze worden gekoppeld met een fiets, je weet wat er op de fiets zit en welke handelingen je nodig hebt.
      Monteur kan dus zelf via de video leren tav de opdracht die hij te doen heeft.
      Ook hier is de structuur die helderheid geeft.

      De videos worden ook gebruikt voor de consument beter te informeren.
      Wanneer consument beter geïnformeerd wordt en dus helderheid krijgt en bewustzijn dan zegt hij sneller ja tegen een reparatie en h=een prijs die er voor staat. Door de vaste heldere prijzen (arbeid / onderdeel prijs) kunnen we ook snel die helderheid geven.

      WE halen het werk binnen via het online platform fietsraparatie.nu
      De klant die een reparatie of onderhoudsvraag heeft meld zich op platform en kan of zelf via uitleg zichzelf helpen of via help chat functie of meld de fiets aan voor zijn behoefte. Daarna wordt de fiets aan een collega of aan ons bedrijf gekoppeld.

      We krijgen reparatie op maat of aan collega fietsenmakers kunnen we reparatie op maat geven (local hero)
      We maken fietsen voor de ANWB,
      We maken fietsen voor de particuliere markt
      We maken fietsen lease maatschappijen
      We maken fietsen voor Stella en andere merken die rechtstreeks leveren of gaan leveren
      Eigenlijk doen we reparatie en onderhoud van de volledige markt

      Bedrijven gaan de kennis en informatie met ons delen omdat wij ook de garantie van de merken gaan oppakken. eerst is de focus nog op fietsen en reparatie van fietsen buiten de garantie.
      Het regelen van garantie vraagt nog een extra stap.

    What to do more. Read more and set intention of the day. Bought a book and set an intentions ever since.
    Do less. Late to bed. Max. twelve o'clock.
    STOP! Wasting time behind laptop with pointless googling.

    Next week I look at the list again and pick some more.

    The tasks I am not doing today are writing my linkedin post or my blog post. The outsourcing process is still in progress and will benefit my business in the long run. I am busy sorting out my blogwriting automating which is really interesting but very time consuming.
    Other tasks I am not doing are developing an online training, new training, writing my new book.

    The most important actions will be the blogwriting that I can also use for LinkedIn.
    Networking is a time consuming but very worthwhile activity in my business. Lead Generation via LinkedIn is doing very well. I should do my sales follow up with more regularity. Working on my business, looking for freelance trainers, getting them involved in my methodology is important to do as well.
    The coming month I will visit at least one more networking event. I will revisit old customers and dedicate more time to automating leads and LinkedIn.
    Getting distracted by social media will be priority number one. Shorten my coach session, keep track of time. Working IN my business I want to do less of. Replacing that with working ON my business instead.
    Spend less time on social media, skip the news and news apps and less time socializing with my collegues

    Doubting myself, putting my energy in something and only receive bad energy, not accepting clients that are not in my target group. Keep investing in outsourcing that will not pay off.
